Privacy policy

GeoDrive records where you drive, so it holds personal information that matters. This page explains what we collect, why, who else handles it, and what you can do about it.

1Who we are

GeoDrive is a division of CodeBooth, a South African software company. CodeBooth is responsible for the personal information GeoDrive collects, and is the responsible party for it under the Protection of Personal Information Act, 2013 (POPIA).

This policy covers the GeoDrive apps for iPhone and Android, the web portal at app.geodrive.app, and this website. It does not cover the eLogger portal at geodrive.co.za.

2What we collect

Your account. Your email address, your name, and, if you choose to add it, your phone number. Your password is stored only as a one-way hash, never in a form anyone can read.

Where you drive. While the app is recording, it collects your phone's location: position, speed, accuracy, and the kind of motion your phone reports. These are turned into trips, each with a start and end time, where it started and ended, its distance, and where it stopped along the way. The individual positions are held only while they are processed into trips, and are not kept.

What you tell us. Your places and what kind of place each one is, your reasons, working days, leave and business trips, your vehicles and odometer readings, your expenses, and any changes you make to your trips.

Your settings. Your country, region, timezone, distance units and language.

Your device. A notification token, so we can send you notifications, and the type of device you use.

Your subscription. Whether you have Pro, and when it renews or ends. We never see or store your card details: the App Store or Google Play handles payment.

3Location in the background

GeoDrive records trips automatically, which means it needs your location while the app is in the background. It uses full GPS accuracy while you are driving and a low-power mode while you are not, which watches only for movement.

You choose this when you grant location permission, and you can withdraw it at any time in your phone's settings. GeoDrive will then stop recording trips automatically, and you can still add trips yourself.

4How we use it

  • To record your trips and keep your logbook.
  • To sort your trips into business and private, using your places, working days and leave.
  • To look up street addresses for where your trips start and end.
  • To produce your reports and logbook exports.
  • To manage your subscription and the limits of the free plan, including addresses on 30 trips a month.
  • To send you the emails you need, such as verifying your address and resetting your password.
  • To keep GeoDrive secure and working, and to fix problems.

5What we do not do

  • We do not sell your personal information.
  • We do not use your location or your trips for advertising.
  • This website sets no cookies and runs no analytics or tracking.

6Who else handles it

A few services do part of the work for us. Each receives only what it needs:

  • Google turns the coordinates at the start and end of a trip into a street address. It receives the coordinates, not your name or account.
  • RevenueCat keeps track of your subscription, using an identifier for your account.
  • Apple and Google handle payment when you subscribe through their stores.
  • Resend sends our emails, and receives your email address to do so.
  • Expo delivers notifications to your phone, using its notification token.
  • Cloudflare sits in front of our servers to protect them, and passes requests through.
  • Google Firebase hosts this website and the web portal.

Some of these services process information outside South Africa. Where they do, we rely on them being bound by data protection law or agreements that give it a level of protection comparable to POPIA.

We will also share information where the law requires us to, such as a valid request from a court or a regulator.

7How long we keep it

We keep your information for as long as you have an account, so your logbook stays complete across tax years.

If you delete your account, everything is permanently removed 30 days after you ask. Until then you can change your mind and keep the account. Tax authorities can ask for records years later, so download your logbooks before you delete.

8Your rights

Under POPIA you have the right to:

  • know what personal information we hold about you, and get a copy of it;
  • have it corrected if it is wrong;
  • have it deleted;
  • object to how we use it;
  • complain to the Information Regulator.

You can do much of this yourself. Your details are in Settings. Under Account in the web portal you can download everything we hold about you as one file, and delete your account. For anything else, email hello@codebooth.co.za.

If you are not happy with how we have handled your information, you can complain to the Information Regulator (South Africa) at inforegulator.org.za.

9Keeping it safe

Everything between your phone, the portal and our servers travels encrypted. Passwords are stored only as a one-way hash, and access to our systems is limited to the people who need it. No system is completely secure, and if something goes wrong that affects your information, we will tell you and the Information Regulator as POPIA requires.

10Children

GeoDrive is for adults keeping a record of their driving. It is not meant for anyone under 18, and we do not knowingly collect information about children.

11Changes to this policy

If we change this policy, the date at the top changes with it. If a change affects how we use your information in a way that matters, we will tell you in the app or by email before it takes effect.
